Who this is for

The Klein's app ("HD Retail — Klein's": the iOS app and the website at hdretail-kleins.com) is a tool for the staff of Klein's Jewelry. It is built and run by H&D Data Solutions ("we", "us") for Klein's Jewelry ("Klein's"). It is not offered to the public, and only accounts that Klein's creates can sign in.

This policy explains what the app records about you, the staff member using it, and about the customers whose records it holds; what that information is used for; which outside services handle it; and the choices you have. Klein's decides what customer information is collected and how it is used. We process it on Klein's behalf and under Klein's instructions.

Information about you

  • Your account: your name, work email address, role (owner, sales rep or developer), permissions, and which store or stores you may see. Your password is stored only as a one-way hash.
  • Sign-in details: when you sign in, a cookie that keeps you signed in on that device, and the network address of the request, which is used to limit repeated sign-in attempts and appears in server logs.
  • What you do in the app: every change made in the app — a sale, a price, a job, a setting — is recorded with the name of the person who made it and when, so the shop has an audit trail. That history is kept with the business records.
  • Your voice, when you use voice search or the in-app assistant: the clip is sent to OpenAI to be turned into text and is not stored by the app. The text, or a short part of it, is kept in the app's AI request log for cost and quality review.
  • Your device, only if you turn notifications on: a push token that lets Apple deliver alerts to that device, the app build, the store the device is set to, and when the app was last opened. Nothing about the device is collected unless you switch notifications on.
  • Bug reports, from developer accounts only: what you type, the page you were on, your browser or app version, and any screenshots you attach.
  • The camera: to read barcodes on tags and invoices — the picture is read on your device and is not stored or sent anywhere — and, when you choose, to photograph a piece for its record. Those photos are saved to the item or job.

Information about Klein's customers

On Klein's behalf the app holds customer records: names, phone numbers, email and postal addresses, purchase and return history, repair and custom-order details, appraisals, store credit, text-message conversations with the store, photos of pieces, and documents attached to a sale such as proof of shipment or a tax-exemption certificate.

You may use this information only to do Klein's work. A customer's request about their own information goes to Klein's, which answers it with our help.

How information is used

  • To run the shop: check in inventory, ring up and record sales, manage jobs and repairs, text and email customers, print labels and invoices, close the books, and pay commissions.
  • To keep an accurate record of who did what.
  • To send you the notifications you turn on.
  • To keep the app secure, and to find and fix problems.

Never for advertising. We do not sell personal information, and we do not share it with anyone except the service providers that run parts of the app for us, described next.

Who else handles information, and how it is kept safe

The app runs on cloud servers in the United States. A small number of service providers run parts of it for us — the point of sale, text messaging, email, label printing, push notifications and hosting. Each receives only what its part of the job needs, under an agreement that limits it to that job, and none may use the information for anything else.

Notifications

The app sends a notification only if you turn Messages on in Settings → Notifications. The alert on your lock screen says that a customer texted, and which store; the conversation itself opens inside the app after you unlock it.

Turn notifications off at any time in Settings → Notifications, or in iOS Settings. A device token that Apple reports as no longer valid is retired automatically, and all of an account's devices are removed when the account is removed.

Where information is kept, and for how long

Everything the app stores lives on servers in the United States and travels encrypted. Business records — sales, jobs, appraisals, customer records, text conversations and the audit history — are kept for as long as Klein's needs them for its books and its obligations under tax law.

Your account details are kept while you work for Klein's. When an administrator removes your account you can no longer sign in and your account details are removed; the record of the actions you took stays in the audit history, attributed to your name, because the shop's records depend on it.

Server logs and AI request logs are kept for a limited time, for security and cost review.

Security

The app is reached only over HTTPS. Passwords are stored as hashes. Each account sees only the stores and functions its role allows. Messages from outside services are signature-checked before they are trusted, and the audit history records every change.

Because the app runs on personal phones, keep your phone locked, do not share your sign-in, and tell an administrator straight away if a device is lost or stolen so its access can be ended.

Your choices

  • Notifications: on or off in Settings.
  • Your account details: ask an administrator at Klein's to correct them.
  • Access or deletion: to see or delete the personal information the app holds about you, or to ask a question about this policy, contact Klein's or write to us at the address below.

We do not sell personal information and do not use it for advertising, so there is nothing to opt out of in that sense. The app is for Klein's staff and is not directed to anyone under 18.

Changes to this policy

The version date at the top changes whenever this policy changes. If the change matters — a new kind of information, or a new service that handles it — the app asks you to read and accept the policy again before you continue.
